This message is directed to all 4th/final year students planning to apply to graduate and finish their degree requirements by the end of the Fall 2020/Winter 2021 term(s).

Congratulations - you're almost done!

As a starting point, please review all important dates and deadlines from the Convocation checklist (found here https://www.ucalgary.ca/registrar/graduation) and follow the appropriate steps to apply to graduate.

Although application access is now live in your Student Centre, at this time some deadline information regarding Winter Conferral (Fall 2020 Applicants - 01/15/2021 Tentative Deadline) & June Convocation (Winter 2021 Applicants - 03/31/2021 Tentative Deadline) is still pending, continue to monitor the following website for up to date changes: https://www.ucalgary.ca/registrar/graduation/when-apply
The Convocation office is an centralized unit within the Office of the Registrar and independent of the Engineering Student Centre.
Any specific ceremony, parchment, or photography questions not covered by their informative website needs to be directed to them by connecting with either Enrolment Services<https://www.ucalgary.ca/registrar/contact-us> or via email to convinfo at ucalgary.ca<mailto:convinfo at ucalgary.ca>

If you have questions regarding the Iron Ring ceremony or APEGA workshops the following website - https://schulich.ucalgary.ca/current-students/undergraduate/graduating-students/iron-ring-ceremony - is maintained by the ESC to answer a majority of these inquiries, if you have a question which is not covered here, you will need to contact APEGA events at apega.ca<mailto:events at apega.ca> and/or Camp 18 https://camp18ironring.ca/contact for further detail.

Before you connect with a Faculty advisor regarding a graduation eligibility check:

Please first review your Academic Requirements (AR) Report<https://www.ucalgary.ca/registrar/student-centre/academic-requirements>.
This can be located by navigating through your Student Centre>Program and Advising Info>My Academics (bottom of the page)>Academic Requirements.

Some reminders:

  *   The AR Report is a tool for students to ensure they are on track for degree completion.  It may be referenced during the graduation review, but your department will look at all courses you have completed.  If a substitution has been approved, but the requirement is still showing as "not met" on your AR Report, you will still be approved for graduation.  It is always best to keep all email approvals from undergraduate Associate Heads/Program Directors for your own records, as well as providing these to the ESC if they have not been previously forwarded.
  *   If your AR report looks OK, or if there are a few requirements showing as not having been met, but you have confirmation of substitutions or credits having been approved by your department or the ESC, you do not need to check into this further.
  *   If you wish to have your AR report updated with any approved substitutions or equivalent courses, please email engginfo at ucalgary.ca<mailto:engginfo at ucalgary.ca>.  These requests can take a few weeks to complete and are not required to graduate.

If you see another issue, please email engginfo at ucalgary.ca<mailto:engginfo at ucalgary.ca>, or join a virtual walk in appointment Mon, Tues, Thurs or Fri from 1-4 pm MST.  Please sign up using QLess app https://schulich.ucalgary.ca/current-students/undergraduate/qless and watch for a Zoom meeting request sent via email to the address entered on the queuing system.

Please note:  the first few weeks of January are very busy with Winter term enrolment requests. If needed, we ask that you plan for a virtual drop-in advising session about grad review in November or December if you feel the issue may have an impact on your Winter term enrolment, if this inquiry is not of immediate concern you can choose to meet with us in February.  At this time full courses required for degree continuation are still being reviewed and solutions may not be communicated until after the Winter break in the first week in January at the latest. We have been assured you will get the core technical courses required to graduate (if applicable).

If you require an International Student Visa letter (to support post-graduate work within Canada), please note there is now a fillable form available on the ESC D2L>Content>Forms>Post Graduation Work Permit Program (PGWPP) Graduation Letter Form.  Again, due to the volume of inquiries related to Winter term registration in the first three weeks of January, we ask that, if possible, you complete the form and return it to engginfo at ucalgary.ca<mailto:engginfo at ucalgary.ca> in November, December, or February.
