Please use this checklist for everything related to graduation and Iron Ring. This message is long, but please read it and keep a copy of this email to make sure you don't forget any important steps. There is also a list of FAQ questions at the bottom. Step 1) Apply to graduate on Peoplesoft - The deadline to apply to graduate is Feb 1st. If you haven't done this yet, log on now! Make sure that your name is correct, because this is how it will be printed on your degree. Contact the convocation office if you require changes. Step 2) Sign up for Iron Ring Ceremony and find out your ring size - The sign up for Iron Ring begins Feb 6th and ends March 2nd. Do this ASAP!! The next ceremony isn't until November, so you really don't want to miss this one. You can sign up in the Undergrad office (ENC 204) or by email at engginfo@ucalgary.ca - You should have recently received an email from the undergrad office about signing up for Iron ring. It also mentions that you need to get your pinkie sized at a jewelry store (any jewelry store can do that for you) - The Undergrad Office will give you an APEGGA package with further details about the ceremony, and a registration sheet that you must bring with you to the Iron Ring Workshop. - Your APEGGA Member-In-Training registration and your ring are FREE if you attend the workshop/ceremony. If you do not attend, you have to pay. - If you have a friend or family member who is a professional engineer they may be able to present your iron ring to you at the ceremony. - Please consult your APEGGA workshop package for further details. Step 3) Buy your tickets for the Graduation Banquet (banquet is on March 24th at the Hyatt, the same day as the Iron Ring Ceremony) - Ticket prices have not been determined as of yet, but will likely be roughly $60 - $70. Cash or cheques accepted. Tickets will go on sale February 27th in the ESS office. Step 4) Submit your nominations for ESS Student Awards and Professor of the Year Awards - Do you know a student or a professor who is deserving of an award? If so, submit a nomination! Nomination forms will be available at www.ess.ucalgary.ca . (DETAILS TO FOLLOW) - These awards will be given out at the Graduation Banquet on March 24th Step 5) Get your Grad Photos Taken - FINAL session of pictures is being taken from February 1-10. Sign up sheets are available in ESS (ENE 132) Step 6) Submit your photos for the yearbook - Do you have good photos from your department, club or engineering event? We would love to include your photos in the yearbook. All graduating students receive a free yearbook. To submit pictures you can either: a. Go to the Jostens link: http://www.replayit.com/r/ -- When registering to submit pictures search for: Schulich School of Engineering (school passcode: supercow2012) b. Drop off a USB key or CD with your name on it at the ESS office -- USB keys will be returned once the pictures are copied from it - If you have any questions, please feel free to contact communications@ess.ucalgary.ca Finally, here is a FAQ answering several common questions I have heard lately: Q: Do I have to go to the banquet? A: No, but you only graduate from engineering once, do you really want to stay home doing homework when everyone else you know is being treated to a fancy four-course meal? Q: Why are the banquet tickets so expensive? A: The banquet is at the Hyatt and funding for the event comes from the ticket sales and funding from the departments and ESS. Don't worry, it will be worth it! See above for why you want to buy a ticket Q: What should I wear to the Iron Ring Ceremony and the Banquet? A1: Business Attire for the Iron Ring workshop and Ceremony. A2: The Graduation Banquet is Formal Dress, which means guys generally wear a dark coloured suit and a tie. Ladies may choose to wear a dress or a skirt. (Don't worry there is about a two hour break between the ceremony and the banquet, so there is time to change your outfit if you choose to). Check out the gallery of photos from last year's banquet on www.ess.ucalgary.ca . Q: Should I bring my parents to the Ring Ceremony and the Banquet? A: Yes, these are both parent-friendly events. Your parents will want to share in your graduation celebrations! Grandparents and siblings are also welcome. Please note, that it has been requested by APEGGA that children under 12 and infants not be in attendance. Q: Is there an after-grad? A: Yes, the after-grad is being organized by ESS. More details will be released closer to the date. Q: What do parents go to? A: Parents can go to the Iron Ring Ceremony at 1:30pm (no ticket required) and the Banquet at 5:30pm (you can get them their tickets in ESS - see info above). The workshops in the morning are for students only. Also be advised that if your parents are late for the Iron Ring Ceremony they will not be let into the room. Once they close the doors they won't open them until the ceremony is over so BE THERE EARLY! Here's what you need to know, followed by some FAQ's: Schedule for the Day: 8:15am-12pm - APEGGA Workshops (Telus Convention Center). A more detailed schedule is provided in the package given to you when you registered for the Iron Ring at the Undergrad Office. Also, remember to bring your filled out application (also in the package). 12pm-1pm - FREE Lunch provided by APEGGA for all who attended the workshops (Telus Convention Center) 1:30pm - IRON RING CEREMONY (Telus Convention Center) Right after the Ceremony - A photographer will be taking group pictures of the departments on the large set of stairs at the Telus Convention Centre so stick around for your class photo (as well, an announcement will be made at the luncheon). The order will go: Chem, Civil, Geo, Mech, then (best for last) Z00. After Group Photos up to 5:30pm - Free Time. This is your time to go home and change if you're wearing something different for the Banquet! Remember, the Iron Ring ceremony is business casual, and the grad banquet is formal (formal means get dressed up!). 5:30-6:30pm - Cocktails: Cash Bar (Hyatt) 6:00pm-6:30pm - Doors open for the Banquet (Hyatt) 6:30pm-10pm - 2012 Graduation Banquet (Hyatt) 10pm -10:30pm - Two Buses will be leaving from the Hyatt to Vinyl where the aftergrad will take place. You can walk to Vinyl if you don't want to wait for buses, it's a short walk. Here are answers to some other FAQs: What do parents go to? Parents can go to the Iron Ring Ceremony at 1:30pm (no ticket required) and the Banquet at 5:30pm (given you got tickets for them). The workshops in the morning are for students only. Also be advised that if your parents are late for the Iron Ring Ceremony they will not be let into the room. Once they close the doors they won't open them until the ceremony is over so BE THERE EARLY! What's happening with after grad tickets? You get one free aftergrad ticket for each banquet ticket you bought, you can redeem these at the banquet by showing your banquet tickets at the registration table. They're good for no line no cover until 11pm and include one free drink. If you didn't purchase banquet tickets unfortunately we have a limited amount so you should try to get them from someone who's going to the banquet but not using their aftergrad tickets (ie: parent's tickets). The aftergrad is not a private function so in the case you can't get tickets you can always go to Vinyl, you'll just have to wait in line and pay for cover. What do I wear? The Iron Ring Ceremony is business casual (what you'd wear as a working professional) and the Grad Banquet is formal. So for the banquet: guys that means you could wear a suit or at least dress pants and a dress shirt, and a lot of the women will be wearing dresses. Are people staying downtown at a hotel? A number of students have booked rooms at the Marriott downtown so they do not have to go home between the Iron Ring ceremony and Grad Banquet, in order to maximize the time they have to relax and get ready in between events. As well, that means they can stay downtown after the aftergrad instead of arranging rides home (no drinking and driving). However, the Engineering Students' Society and the Grad Committee are not organizing anything formal, so if you want to stay downtown you need to book the hotel yourself (it might be worthwhile to mention that you are part of the engineering graduation group to see if they can put you all on the same floor). The organized events for grad end after the aftergrad at Vinyl. Hope that clears up any confusion and that you all know now where to go! On behalf of the Grad Committee we want to extend our congratulations to everyone for making it all the way here, we hope you enjoy the banquet and remember don't drink and drive. If you are interested, keep reading... WHO: Open to anyone who is interested! You still assemble your own group of four people (or however many you want) and book your own room(s) directly through the hotel (and pay directly) Note: This is being organized separately by students, and is not an ESS or Graduation Committee organized event. WHAT: Group arrangement with the hotel (so that rooms are all in the same area of the hotel, and at a reduced cost) WHY: Iron ring festivities conclude around 3:30 p.m., and we need to be back at the banquet at 5:30 p.m. This does not leave much time to make it home, change clothes and get ready for the formal evening. As such, a number of students are booking hotel rooms at the Marriott hotel to: a) change clothes between events b) stop by for a 'break' after the dinner banquet and before the after-party c) continue the party after Vinyl closes! HOW MUCH: $30 per person in a four bedroom room at maximum capacity. It costs $119 per standard room with two double beds with the group rate. If you want a two person room it is still $119 for the room. WHERE: Marriott Hotel downtown (in the same general complex as the Telus Convention Center and the Hyatt, but cheaper than the Hyatt!) 110 9 Avenue Southeast Calgary, AB T2G 5A6 (403) 266-7331 WHEN: Saturday, March 24 (overnight) Realistically, the day's activities begin quite early and so we will not be able to check into our rooms before the morning workshop to unpack our things. The Marriott is happy to store baggage (overnight bags, beverages in suitcases -> please ensure all alcohol is properly concealed in closed bags i.e. backpacks or suitcases, and not exposed while being stored) for the morning until we make it back after Iron Ring to check in in the afternoon. You may also choose to leave things in your car and pick them up before you check in. HOW: Online or over the phone ONLINE: Click the following link to the Marriott booking page http://www.marriott.com/hotels/travel/yycdt?groupCode=cegcega &app=resvlink&fromDate=3/24/12&toDate=3/25/12 Double check that the group code CEGCEGA is entered, change the room capacity to four (or however many you wish, up to four people is the same price per room). PHONE: Call and ask to book as part of the 'University of Calgary Engineering Graduation Group.' Cite the group code of CEGCEGA to ensure you are booked in the reserved block and get the $119 price. The more the merrier on this so I encourage students to come out and celebrate finally earning our Iron Rings! Once again, through the generosity of Boardwalk's Companies with a Mission program, we will be sending students to Mexico in November to build homes for families over the November term break. Watch your email for an invitation to the mandatory information night on Sept 11th. As in the past, students will be selected by random draw from a pool of applicants and you MUST have a valid passport and/or visa that allows you to travel to the United States of America and Mexico on the day that you apply for the trip (which is Sept 11th). To avoid disappointment (which has happened to a lot of you!) make sure your passport/visa is up to date. There are no exceptions to this rule as we are holding airplane tickets that must have a name attached to them by Sept 15th so we CANNOT wait for you to get your passport renewed! We already have an instructor who agreed to teach this course but we will need to have sufficient enrolment in order to be able to justify running it in fall. ENGG 481 is scheduled as follows: Fall 2012: Lecture 01: Mondays 18:00-20:30 Seminar 01: Wednesdays 18:00-19:15 We are inviting third and fourth year students to register as soon as possible. However, we also suggest that you keep your registration in ENGG 481 in winter or in any of the replacement STAS courses until it can be finalized that we do not have to cancel ENGG 481 in fall for low enrolment. We apologize for the late decision and short notice and ask you to show your interest by enrolling immediately. In case there is insufficient enrollment we will be forced to cancel it, which has to happen on September 7th, the last business day before the official start date of the fall semester. If you are not familiar with ENGG week, it is the first week back to school after the Christmas vacation. It is a competition between faculties that has us competing for things such as hockey, key clue (riddles), scavenger hunt, iron chef, design competition, snow sculpture, Hallway decorating, and the video. Civil already won frosh week so we want to make this year a CIVIL SWEEP and win ENGG week too!!! The video is a very important part of engg week!! Civil has not had the best showing in the last couple of years so we want to make a smash at this years events, SO WE NEED LOTS OF PEOPLE TO PARTICIPATE!! The meeting to plan the Video will be on Tuesday November 6th, 4:30PM in ENF 305 (4th year homeroom) Everyone/anyone is welcome to come out and participate, It is A LOT of fun, probably the most fun you will have at the school EVER!! :) Hope to see you out!
